Town of Middleburg, Virginia

Situation/Challenge

Known as “the nation’s horse and hunt capital,” the town of Middleburg, Virginia, hired Sage as its event management company of record in 2021. In this partnership, Sage provides event logistical support for special community events taking place throughout the year.

Approach

The Sage team brings 35+ years’ experience in project management for special events, ranging from sports and entertainment to trade shows and community activations, working directly with Middleburg’s Town Manager and Director of Business Development and Community Partnership.

For each event, our team is heavily involved with advanced strategic planning, coordinating logistics with vendors and stakeholders, executing onsite and evaluating post-event. This includes but is not limited to attending weekly status meetings, making site visits to develop site maps, reviewing past performances, and enacting key learnings.

Our full-service approach ranges from providing expert advice and counsel to rolling up our sleeves and setting up tables, chairs, stanchions, and signage. We hire and manage additional support staff to help ensure the events run smoothly—assisting with setup, load-in/load-out, customer relations, admission and retail sales, stage management, among other tasks to support the experience end to end.

Results

Over a brief period, Sage has helped grow and improve such signature events as Art in the Burg, a spring arts festival; the town’s annual Oktoberfest celebration; and the 1000 Miglia, America’s warm-up sports car rally—building upon Middleburg’s solid reputation in the region to drive higher attendance and engagement. Sage recently expanded our scope of work to include additional town events such as helping coordinate Middleburg Day, the town’s 4th of July/Independence Day activities, and the Dickens of a Christmas celebration.
